Privacy
How I use personal information, in plain English. I only collect what I need, I never sell it, and you can ask me to stop at any time.
1. Who I am
Rayvans Web is run by Ray van Wingerden, a sole trader, who is responsible for your information (the "controller"). Contact me about anything on this page at rayvanwing7@gmail.com or on 07414 525000.
2. What I collect
- If you contact me: your name, email, phone number and what you tell me.
- If you're a client: contact and billing details, the content for your website, and the details needed to host it and connect your domain.
- Local businesses I'd like to work with: the business name, website, business email and phone number, and sometimes the name of the owner or manager. I take these from the business's own website, Companies House and public listings.
- Visits to website previews: previews count visits without cookies: pages viewed, time on the page, how far down it was scrolled, the type of device and the website the visitor came from. No names, IP addresses or cookies are stored.
- Emails I send: may include a small image that tells me whether the email was opened.
- This website: uses no cookies and no analytics. My hosting provider may keep short-term technical logs, such as IP addresses, for security.
3. Why I use it, and the legal basis
- To provide my service to clients and answer enquiries (contract, or steps before a contract).
- To offer my service to local businesses and see whether a preview was looked at (legitimate interests: telling businesses about a service that may help them, in a way they'd reasonably expect).
- To keep business and tax records (legal obligation).
4. Marketing emails
I only send a first email without asking to limited companies and other corporate bodies, using their business contact details. Sole traders and partnerships hear from me by phone or in person first, and I only email them if they agree. Every email explains how to opt out. If you reply "no thanks", I'll stop contacting you and take down any preview. I keep a short note of your business name and email so I don't contact you again by mistake.
5. Who I share it with
I never sell personal information. I use a small number of service providers to run my business: Google (email), Railway (website hosting), GitHub (secure storage of website code) and, where needed, a domain registrar. Some of them may store data outside the UK, with appropriate safeguards in place.
6. How long I keep it
- Information about businesses I've contacted: up to 12 months after my last contact, unless they become a client.
- Opt-out notes: for as long as needed so I don't contact you again.
- Client records: six years after our work ends, for tax and accounting.
- Preview visit counts: up to 24 months.
7. Your rights
You can ask me for a copy of your information, ask me to correct or delete it, ask me to limit how I use it, or object to me using it, including for marketing, at any time. Just email me. If you're unhappy with how I've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. I'd appreciate the chance to put things right first.
8. Keeping it safe
I take reasonable steps to keep your information secure, including password-protected accounts and private storage.
9. Changes
I may update this page from time to time; the latest version is always here.
